Job summary

OpenAI in San Francisco, CA is seeking a Real Estate & Workplace professional to own end-to-end employee moves and lead CAFM program management. This individual contributor role operates on a hybrid model with three office days per week, with relocation assistance for new hires.

Success is measured by predictable move delivery, readiness, cost and schedule control, accurate CAFM data, strong user adoption, and continuous improvement across space and occupancy planning.

Qualifications

• 5-8+ years in workplace operations, move management, space planning, or corporate real estate in a dynamic environment.
• Proven success leading concurrent, complex office moves end-to-end (schedule, budget, vendors, communications).
• Experience as a CAFM/IWMS admin for OfficeSpace with requirements, data governance, integrations, and adoption.

Responsibilities

• Lead end-to-end move execution, from intake to post-move stabilization.
• Build integrated move plans including schedules, budgets, dependencies, seating, IT/AV, security, furniture, facilities.
• Translate requirements into move waves; lead readiness reviews, issue resolution, post-move retrospectives.
• Establish responsibilities and escalation paths across leadership, People, IT, Security, Facilities, Communications, and Finance.
• Manage move vendors and workplace service providers; oversee scope, schedules, quality, safety, and costs.
• Communicate plans, risks, and decisions to employees and executives with minimal disruption.
• Develop scalable move playbooks, RACI models, readiness checklists, and service standards.
• Maintain risk logs, change control, budget tracking, and governance across moves.
• Track KPIs like readiness, move accuracy, downtime, employee experience, and cost.
