Job summary

Vox Media in New York City is seeking an experienced Manager, Workplace (Facilities) to lead the daily operations of the NYC office and ensure a well-run, welcoming space that supports how teams work and collaborate.

This hands-on role manages a small team of staff and contractors, partners closely with the Head of People to keep spaces responsive and safe, and coordinates across the DC office as needed. This is a permanent, full-time position with comprehensive benefits.

Qualifications

• Experience managing people and directing teams with clear communication and accountability.
• Experience running workplace operations in HQ or multi-site offices.
• Strong organizational skills to manage multiple priorities and workflows.
• Experience managing budgets, invoices, and vendor relationships.
• Proactive, solutions-oriented mindset to anticipate needs and resolve issues.
• Able to work cross-functionally with many stakeholders.

Responsibilities

• Oversee daily workplace operations and ensure a well-maintained, productive office.
• Manage a team of full-time, temporary, and contract staff, including scheduling and timesheets.
• Own NY workplace operations, coordinating with vendors, building management, and internal partners.
• Develop and maintain workplace processes and operating standards.
• Manage budgets, PO, invoices, and vendor payments with Finance.
• Coordinate with building management on access and maintenance.
• Ensure workplace safety and compliance with established protocols.
• Coordinate during workplace incidents or crises and communicate on-ground actions.
• Support space planning and stakeholder requests while maintaining efficiency.
• Lead workplace projects such as moves and reconfigurations.
• Partner with leadership to plan workspace needs and optimize space use.
