Job summary

Vox Media seeks an experienced Manager, Workplace (Facilities) to lead the NYC office’s day-to-day operations and support how teams work and collaborate. The role oversees a small team and collaborates with the Head of People to keep spaces welcoming and functional.

The position is permanent and full-time, with support for the Washington, DC office via remote coordination. Salary range is $100,000–$115,000 USD and benefits are provided.

Qualifications

• Experience managing people including direct reports and contract staff.
• Experience managing workplace operations in a headquarters or multi-site office environment preferred.
• Strong organizational and prioritization skills with ability to manage multiple priorities.
• Experience managing budgets, invoices, and vendor relationships.
• Proactive, solutions-oriented mindset with ability to anticipate needs and resolve issues quickly.
• Comfort working cross-functionally and managing requests from a wide range of stakeholders.
• Experience in office operations, facilities, or a related field.
• Willingness to learn and adopt new technologies, including AI tools, to improve efficiency.

Responsibilities

• Oversee daily workplace operations, ensuring the office is well-maintained and supports a productive employee experience.
• Manage a team of full-time, temporary, and contract staff, including scheduling and day-to-day direction.
• Serve as operational owner of the New York workplace, coordinating with vendors and internal partners.
• Establish workplace processes, documentation, and operating standards for consistent service.
• Own budget management, PO processing, invoices, and vendor payments with Finance.
• Serve as main contact for building management, handling access and maintenance coordination.
• Ensure workplace safety and compliance through regular checks and incident response.
• Coordinate during workplace incidents or crises and support on-the-ground communication.
• Support space planning and requests from stakeholders while balancing needs.
• Manage relationships with vendors and service providers for high-quality service and improvements.
• Lead workplace projects from planning through execution (moves, reconfigurations, vendor implementations).
• Partner with leaders to plan workspace needs balancing experience, efficiency, and space usage.
