We are a skilled nursing facility (SNF) dedicated to providing high-quality care and a supportive environment for our residents and staff. We are currently seeking a highly organized and dependable Scheduler / Administrative Assistant to join our team.
Position Summary
This role is responsible for coordinating staff schedules, supporting daily administrative operations, and ensuring smooth communication across departments. The ideal candidate thrives in a fast-paced healthcare setting and has strong attention to detail.
Key Responsibilities
- Create, manage, and maintain nursing and staff schedules
- Coordinate shift coverage, call-offs, and open shifts
- Communicate scheduling updates with nursing staff and leadership
- Assist with payroll preparation by tracking attendance and timekeeping
- Provide administrative support including filing, data entry, and answering phones
- Maintain employee records and ensure compliance with facility policies
- Assist with onboarding paperwork and general HR-related tasks
- Support department heads with daily operational needs
- Manage, maintain, and audit resident medical records in compliance with facility policies and regulatory requirements (CMS, state guidelines, HIPAA)
- Ensure accuracy, completeness, and timely updating of all medical records documentation
- Organize, file, retrieve, and track medical records as needed
- Assist with chart preparation, admissions, discharges, and record requests
- Perform general front desk reception duties, including greeting visitors and assisting inquiries
- Answer and route incoming telephone calls professionally and efficiently
- Maintain strict confidentiality of all resident and facility information
Qualifications
- Previous experience in scheduling, staffing, or administrative support (healthcare preferred)
- Minimum of 2 years of experience specifically in Medical Records, preferably in a healthcare or skilled nursing facility setting, or completion of relevant education/training in medical records or health information management
- Strong knowledge of medical records processes, documentation standards, and confidentiality requirements
- Experience in a skilled nursing facility or long-term care setting strongly preferred
- Proficiency in Microsoft Office and scheduling/payroll systems
- Strong organizational and multitasking skills
- Excellent communication and problem-solving abilities
- Ability to handle confidential information with professionalism
