Helpmates is seeking a Customer Service Representative specializing in order management and ERP to join our Huntington Beach team. This on-site role handles quote creation, PO processing, order entry, and coordination with shipping to keep orders moving on time.

You will serve as the main point of contact for customers, manage high-volume orders in ERP, and collaborate with internal teams. Typical schedule is Monday–Friday, 7:30 AM–4:00 PM, with pay at $25–$26 per hour.

• 2-3 years of customer service experience specifically in order processing.

Join a busy team in Huntington Beach, CA as a Customer Service Representative supporting customers from order entry through shipping coordination. If you thrive in a fast-paced environment handling quotes, purchase orders, and high-volume orders in an ERP system, this could be a great fit. In this role, you'll be the point of contact for customers, manage orders in the ERP, and work cross-functionally with internal teams to keep orders moving on time.

What You'll Do

• Handling inbound customer communication via phone and email in a professional, service-focused manner
• Entering and managing high-volume orders in an ERP system (accuracy and attention to detail are key)
• Creating and processing quotes, purchase orders, and order-related documentation
• Coordinating order fulfillment activities, including working with shipping/operations teams on timing and logistics
• Providing order status updates, confirming ship dates, and proactively communicating changes or delays
• Troubleshooting order issues (pricing, quantities, shipping details, backorders, etc.) and driving them to resolution
• Maintaining accurate customer and order records, notes, and follow-up actions within the ERP
• Supporting team workflow and taking on additional tasks as needed to help the department run smoothly

What You'll Bring

• 2-3 years of customer service experience specifically tied to order processing/order management (not primarily general admin or warehouse work)
• Hands-on ERP experience (required) for order entry, order tracking, and customer/order documentation
• Experience with high-volume order entry, strong accuracy, and comfort juggling priorities
• Experience with quotes, purchase orders, and customer follow-up/communication
• Strong written and verbal communication skills and a professional phone presence
• Ability to work independently, stay organized, and meet deadlines in a fast-paced setting

Preferred (Nice to Have)

• Experience with Microsoft Dynamics / Navision (strongly preferred)
• Industry background in aerospace, manufacturing, or distribution
• Experience coordinating shipping details and understanding order-to-ship workflows
