Job summary

Healthy Kids Extended Day Programs in Fishkill, NY seeks a detail‑oriented Compliance Coordinator to manage documentation, licensing, and multi‑state regulatory records. This in‑person, part‑time role reports to the CEO and collaborates with Operations, Registration, HR and other teams to keep records accurate and current.

A primary focus is tracking medical and health documentation for children, identifying missing or expiring records, and coordinating timely follow‑ups to meet requirements.

Responsibilities

• Track required medical and health documentation for children across multiple states.
• Review records for missing, incomplete, or expired documentation.
• Monitor expiration dates and coordinate follow‑up on required updates.
• Maintain accurate spreadsheets, databases, checklists, and compliance records.
• Track state‑specific childcare licensing and documentation requirements.
• Monitor regulatory deadlines, renewals, and expiration dates.
• Assist with keeping internal compliance information current as requirements change.
• Organize documentation for licensing reviews, inspections, and audits.
• Track outstanding compliance items and follow up through completion.
• Prepare routine compliance reports and provide the CEO with updates on outstanding items.
• Communicate with internal teams to obtain missing information and resolve documentation issues.
• Identify discrepancies or potential compliance concerns and elevate them to the CEO or appropriate department.
• Maintain confidentiality when handling children's, family, and employee information.
• Assist with compliance projects and other related administrative duties as assigned.
