Job summary

Unique Vacations, Inc. is hiring a MICE Groups Function Coordinator in Miami to manage operational outlines for meetings and incentive groups. You will liaise with resort sales, clients, and internal teams to ensure timely, accurate outlines and smooth execution.

The role requires coordinating locations, times, menus, and group details while tracking payments and ensuring 60-day pre-arrival readiness. Travel and resort visits are expected.

Qualifications

• High school diploma or equivalent required; college degree preferred.
• Minimum of 3 years of related experience.
• Willing to travel and work in a dynamic team environment.
• Must have appropriate travel documents to travel to US and Caribbean.

Responsibilities

• Understand each hotel's function and meeting space.
• Assist clients with information about menus, décor, entertainment during proposals.
• Send contracted MICE group bios to resort after booking and deposit.
• Send group function intro letter after group file is confirmed.
• Follow up with clients on locations, times, and menu options within 2 weeks of intro letter.
• Coordinate with resort sales team to confirm client requirements (location, time, décor).
• Schedule conference calls between resort sales team and clients no later than 60 days before arrival.
• Prepare operational outlines with confirmed locations, times, menus for client signature 60 days prior.
• Ensure add-on event payments are collected and posted to invoices by 60 days prior.
• Coordinate with Operations on rooming lists, seating, and flight details; reflect in the outline.
• Send completed signed outline to resort team 60 days prior to arrival.
• Update group function sales kits as needed.
