University of Maryland Upper Chesapeake Health is seeking a Medical Secretary to join our Harford County team. The role supports patient scheduling, records management, and frontline coordination in a busy medical office environment.

The ideal candidate will have a high school diploma or equivalent and at least one year of customer service experience, with preferred healthcare/medical office exposure. A professional appearance and strong organizational skills are essential.

Qualifications

  • Requires a high school diploma or equivalent.
  • At least 1 year of customer service experience or completion of an Administrative Assistant program within the last 12 months.
  • Previous healthcare or medical office experience is preferred.

Responsibilities

  • Answer telephone calls and handle routine inquiries or refer non-routine matters to appropriate persons.
  • Obtain, complete and follow up on all necessary paperwork accurately and timely.
  • Maintain records and ensure documentation is scanned into patient records.
  • Schedule patient appointments and tests, coordinating with appropriate personnel.
  • Schedule return visit appointments to ensure smooth operation.
  • Assist team with preparing for patient visits or processing post-visit documentation.
  • Ensure completion of Consent to Treat, HIPAA and other forms as appropriate.
  • Maintain electronic patient charts and organize necessary information for patient arrivals.

As a Medical Secretary you will:
  • Answer telephone calls, handle routine inquiries, and refer non-routine matters to appropriate persons.
  • Obtain, complete and follow up on all necessary paperwork in an accurate and timely manner.
  • Maintains records and ensures documentation is scanned into patient records.
  • Schedule patient appointments and tests, coordinating with appropriate personnel as necessary.
  • Schedule return visit appointments as appropriate assuring smooth functioning.
  • Assist team with all facets of preparing for patient visits or processing post visit documentation.
  • Assure completion of Consent to Treat, HIPAA and other forms as appropriate.
  • Maintain electronic patient charts.
  • Organize and prepare the necessary information, reports, records, charts and correspondence before the patient arrives for appointment.
  • Obtain necessary registration information on patients, co-pays, necessary referral forms and authorizations to forward to billing.

Work Experience Education & Training:
  • A high school diploma or equivalent is required.
  • Must have either one (1) year of previous customer service experience or completed an accredited or approved Administrative Assistant program within the last 12 months.
Work Orientation & Experience:
  • Previous healthcare or medical office experience is preferred.
Skills & Abilities:
  • Maintain appropriate, professional conduct and appearance at all times, follows office dress code consistently
  • Complete work in an established time frame, seek appropriate tasks when primary tasks are completed or pace is slow;
  • Demonstrate willingness to perform other duties to assist the team effort for the benefit of the patients, physicians and fellow team members
