To schedule and coordinate patient appointments for the oncology area, including provider visits, diagnostic tests, procedures, and treatments based on provider orders.
Description of Duties
- Accurately schedules patient appointments via patient appointment desk or the schedule orders workqueue; also uses patient communication received via in-basket messaging for coordination of regular and or specialized appointments. Allows for standard or designated turnaround times. Alerts clinical leads of all late add-ons and or cancellations.
- Prepares and maintains daily appointment templates and/or patient records, schedules order workqueues, and in-basket messaging pools.
- Obtains authorizations and/or referrals as needed.
- Coordinates processes and routes all paperwork as required to meet physician and facility requirements.
- Responds to messages and phone calls in a professional and timely manner.
- Documents all patient information in the electronic medical record, including surgical case scheduled. Documents work processes as required.
- Receives and manages multiple telephone calls from internal/external customers, directs calls appropriately in an expedient, courteous and friendly manner, and supervises/trains others to do so.
- Follows standard operating procedures for assigned areas.
- Manages the schedule orders workqueue to ensure timely scheduling of appointments based on expected dates.
- Ensures that scheduling actions needed based on patient appointment reminder responses, are completed daily, or as assigned.
- Assists with all tasks associated with the support of patient care for assigned area.
- Communicates pertinent information regarding specialized, diagnostic, or outside scheduling appointments, and necessary preparations to patients, families, physicians, team members, and other patient care areas in person, by mail, by phone, by online applications, or by in-basket messaging.
- Schedules and coordinates patient appointments for the benefit of the patient, considering factors such as patient demographics, other scheduled appointments, patient preference, etc.
- Schedules orders based on designated procedures defined by leadership; seeks clarification of orders, when needed.
- Maintains knowledge of the CMS list of approved procedures in assigned area as well as the reimbursement table of all managed care contracts.
- Obtains approval for all cases where the procedure, implants or equipment is not covered by contracted or non-contracted insurance payers.
- Performs other duties as assigned.

Required Education
High school diploma or equivalent.
Preferred Education
Associate degree in Business or related from an accredited program/university
Licenses/Certifications
None.
Required Experience
- Three (3) years experience in healthcare scheduling performing related duties, or
- One (1) year of the required experience with Associate degree in Business or related from an accredited program/university.
Preferred Experience
Experience in related clinical environment or multi-specialty physician practice.
Equipment
Use of standard office equipment.
Working Conditions
Needs to be able to successfully perform all required duties. Office/healthcare environment; some travel and weekend work is required. Exerting up to 20 pounds of force frequently, and/or a negligible amount of force constantly to move object. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley. Work is performed primarily in a general office environment.
Other
Knowledge of and execution of selected tasks related to patient care are critical. Depending on area of assignment, may require knowledge of infusion medication such as: Chemo, Irons, Injections, outside radiology scheduling. Organized and effective at dealing with several activities simultaneously; strong organizational skills required; ability to prioritize. Protects patient health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards. Excellent verbal and written communication skills. Must be able to effectively interact with health care professionals, students, and patients.
