Job summary

POCAAN is seeking a highly organized Medical Receptionist to join their Seattle-area clinic. You will be the first point of contact, triaging calls, scheduling patients, and supporting providers using EMR systems.

This role requires excellent communication and impeccable organization to manage calendars and patient flow in a busy health setting. Ideal candidates will have experience with EMR, Microsoft Office, and calendar management.

Qualifications

  • Associate’s degree or higher required.
  • 10 years of front office, client scheduling, and medical billing experience.
  • Strong communication and multitasking abilities in a fast-paced environment.

Responsibilities

  • Manage front desk operations and triage inquiries.
  • Schedule appointments and coordinate provider calendars.
  • Maintain databases and CRM systems and handle patient communications.

We are seeking a highly organized and proactive Medical Receptionist who has superior computer and organizational skills. The Candidate for this position will be customer-facing and must have excellent telephone skills. The candidate must be able to appropriately triage calls and can utilize shared calendars for the executive team to book or adjust meetings. The candidate must have EMR experience and be able to manage providers’ schedules to book patients.

Salary: 49.9K-56.2K ($24/Hr - $27.00/Hr)

Key Executive Assistant Duties:
  • Manage and respond to emails and phone calls
  • Schedule meetings and appointments and manage executive team members’ schedules
  • Conduct online research and prepare reports
  • Maintain and update databases and CRM systems
  • Schedule patients for appointments
  • Experience with using Electronic Medical Records (EMRs).
  • Prepare and edit documents, presentations, and correspondence
  • Handle travel arrangements and itineraries
  • Provide customer support and address inquiries
  • Perform other administrative tasks as needed
  • Perform other duties as assigned
Executive Assistant Skills:
  • Strong written and verbal communication skills
  • Excellent organizational and time-management abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to work independently and as part of a team
  • Ability to manage complex scheduling and time management for clinic schedule
  • High level of attention to detail and accuracy
  • Problem-solving skills and the ability to think critically
Preferred Tools:

  • Zoom and TEAMS
  • Ability to use office equipment (copiers, electronic fax, and computers)
Nice to Have Skills:
  • Experience with graphic design software (Adobe Photoshop, Canva)
  • Basic knowledge of SEO and digital marketing
  • Familiarity with accounting software (QuickBooks)
  • Understanding of data privacy regulations, HIPPA, and best practices
  • Multilingual abilities are welcome and preferred
Qualifications:
  • Associate’s degree or higher
  • 10 years of experience with front office, client scheduling, and medical billing
  • Strong communication skills, remaining calm under stress, and being able to multitask
  • 15 years of advanced computer skills, using Microsoft Office Suite
