Experience
- Minimum of 2 years of dedicated experience working in a fast-paced medical front office, clinic, or healthcare reception setting.
- Proven background in managing high-volume patient check-ins, multi-line telephone systems, and complex scheduling coordination.
- Demonstrated success in handling sensitive patient information with absolute discretion while maintaining strict adherence to healthcare privacy regulations.
Key Responsibilities
- Greet patients warmly and manage the complete front-desk check-in and check-out process.
- Schedule, reschedule, and confirm patient appointments efficiently using advanced patient scheduling and practice management software.
- Verify patient insurance coverage, collect co-pays, and process payments securely.
- Maintain immaculate electronic health records and enter accurate demographic and medical data into EHR/EMR systems.
- Answer incoming calls, route inquiries appropriately, and assist patients with navigating telehealth platforms and digital patient portals.
Required Skills
- Technical (must-have): Proficiency in EHR/EMR Systems, Patient Scheduling Software, Practice Management Software, Microsoft Office, Google Workspace, Patient Portals, CRM Systems, Telehealth Platforms, Payment Processing, Electronic Forms.
- Regulatory (must-have): Comprehensive knowledge of HIPAA Compliance and medical insurance verification processes.
- Soft skills (must-have): Exceptional patient communication, professional customer service, active listening, multitasking under pressure, meticulous attention to detail, teamwork, and strong patient relations.
Education & Certification
- High school diploma or equivalent is required.
- Completion of a post-secondary medical administrative assistant program, vocational training, or certification as a Certified Medical Administrative Assistant (CMAA) is highly preferred and advantageous.
Additional Requirements
- Bilingual fluency (especially Spanish or other regional languages) is considered a strong asset.
- Prior experience working with specialized medical billing workflows or electronic medical form integrations is desirable.
