Job summary

US Heart & Vascular is seeking a Part-time Medical Front Office Specialist to join HeartPlace in Bedford, TX. The role requires front desk experience, EMR familiarity, and authorization coordination, with daily patient check-ins, data entry, and scheduling support.

The position offers a Monday–Friday schedule, a comprehensive benefits package, and CME allowance, with duties spanning check-in, check-out, and chart preparation across multiple clinic locations.

Qualifications

• 1 year of medical front desk and customer service experience required.
• 6 months of EMR experience required (ECW or Athena preferred).
• 6 months of prior authorization experience required.

Responsibilities

• Registers all new patients at time of check-in and enters data in computer system.
• Ensures all established patients have updated and accurate demographic information.
• Requests co-pays, patient balances and coinsurance at time of arrival.
• Provide support for all incoming calls to the clinic.
• Communicates the arrival of patients to the clinical area.
• Complete pre-certification/pre-authorizations before patient arrival.
• Prepares charts/paperwork for next day's patients.
• Supports the check-out process, calculates charges and collects payments.
• Supports the scheduling process of the clinic.
• Performs other duties as required and moves between locations.

Responsibilities

• Registers all new patients at time of check-in and enters data in computer system.
• Ensures all established patients have updated and accurate demographic information.
• Requests co-pays, patient balances and coinsurance from patients at time of arrival.
• Provide support for all in-coming calls to the clinic.
• Communicates the arrival of patients to the clinical area.
• Successfully completes the pre-certification/pre-authorizations process prior to the patient arrival.
• Prepares charts/paperwork for next day's patients.
• Supports the check-out process of the clinic. Calculates and totals charge amount; collects co-pays and deductibles, informs patient of the charge for services.
• Supports the scheduling process of the clinic.
• Performs all other duties as required.
• Required to move between locations as needed.
