Job summary

The Front Desk Associate at NJ Pediatric Neuroscience Institute serves as the first point of contact for patients and families, handling appointment scheduling, check-in/out, insurance verification, and front-end operations to maintain smooth clinic flow.

This role requires strong computer skills, HIPAA awareness, and the ability to work Monday–Friday with potential evenings or weekend shifts. Experience in medical offices and EMR systems is preferred, and bilingual Spanish skills are a plus.

Qualifications

• Experience healthcare and private practice settings preferred.
• Knowledge of medical terminology and workflows preferred.
• Knowledge of Electronic Medical Records preferred.

Responsibilities

• Maintain a professional atmosphere at the front desk and throughout the office.
• Scheduling New patient appointment requests on our website and obtaining correct patient demographics and insurance information.
• Make calls to schedule/reschedule appointments when necessary.
• Scanning documents into the EMR system.
• Distributing faxes and documenting in the patient’s charts.
• Handling Medical records requests while complying with HIPAA.
• Handling fax/email requests from parents and/or provider offices.
• Willing to cover the Call Center when staff is out.
• Performs other duties as assigned.
