Job summary

atCause Law seeks an experienced Medicaid paralegal to manage a Florida Medicaid caseload from intake to approval, including ICP, HCVS, and long-term care waivers. You will gather documents, draft Miller Trusts, and organize records for a five-year look-back while maintaining compassionate client communication.

You will report to the Medicaid Administrator and closely collaborate with elder law attorneys, ensuring timely, accurate submissions and thorough follow-up to secure coverage for clients.

Qualifications

• 2+ years of Florida Medicaid paralegal experience.
• Precision and attention to detail to avoid delays.
• Composure and compassion with families under stress.
• Ownership of a caseload with proactive follow-up.
• Comfort with Microsoft Office and a CRM (Zoho preferred).
• Florida FRP or paralegal certificate/degree is a plus.

Responsibilities

atCause Law is a fast-growing estate planning, probate and elder law firm. We’re 5 years old, with 20+ team members and hundreds of 5-star Google reviews. We’re known as the "Non-Stuffy Attorneys" because clients tell us we’re professional, responsive and easy to talk to.

Our Medicaid department is growing fast. We’re looking for an experienced Medicaid paralegal who knows Florida’s long-term care Medicaid inside and out and wants to work somewhere that runs well.

What you'll do

• Manage a Medicaid caseload from start to approval: nursing-home Medicaid (ICP and HCVS) and the long-term care waiver for home care and assisted living.
• Prepare and submit complete, accurate applications through DCF, and track them to approval, including requests for information and deadlines.
• Gather what each case needs from clients, families, nursing homes, ALFs, banks and care facilities: financial records, medical documentation and verifications.
• Draft Qualified Income Trusts (Miller Trusts) and related planning documents for attorney review, and help clients carry out the plan.
• Organize financial records for the five-year look-back and flag issues for the attorney.
• Keep clients and families informed with clear, compassionate updates through a stressful time.
• Handle renewals and post-approval follow-up so clients don’t lose coverage.
• Keep files and CRM records (Zoho) accurate and up to date.

You’ll report to our Medicaid Administrator and work closely with our elder law attorneys.

What you bring

• 2+ years of Florida Medicaid paralegal experience. You know ICP, the waiver, QITs and the DCF application process.
• Precision. Medicaid is unforgiving. One missing bank statement can delay an approval for weeks, and you don’t let that happen.
• Composure and compassion with families who are often in crisis.
• Ownership of a caseload, prioritizing and following up without being chased.
• Comfort with Microsoft Office and a CRM (Zoho is a plus).
• A plus: Florida Registered Paralegal (FRP) or a paralegal certificate or degree.
