Job Summary

Bishop DuBourg High School, a coeducational Catholic high school dedicated to empowering young people to reach their full potential, is seeking a highly organized, personable, and detail-oriented Office Manager to support the daily operations of the school. This full-time position serves as a key point of contact for students, families, faculty, staff, and visitors while ensuring the efficient functioning of the school's administrative office.The Office Manager oversees front office operations and provides administrative support to school leadership, faculty, students, and families. The ideal candidate is a proactive professional with excellent communication, organizational, and customer service skills who is committed to supporting the mission of Catholic education.

Job Responsibilities
  • Manage the daily operations of the school's main office and serve as the primary point of contact for visitors, parents, students, and staff.
  • Answer and direct phone calls, emails, and inquiries in a professional and courteous manner.
  • Maintain student records, attendance records, and other administrative files in accordance with school policies and confidentiality requirements.
  • Provide administrative support to the President, Principal, and other school leaders as needed.
  • Coordinate office communications, correspondence, newsletters, and mail distribution.
  • Assist with scheduling meetings, appointments, school events, and facility use requests.
  • Manage office supplies and coordinate purchasing and inventory needs.
  • Process forms, reports, and other school-related documentation accurately and efficiently.
  • Support student registration, enrollment, and withdrawal processes.
  • Coordinate substitute teacher needs and maintain related records, as applicable.
  • Assist with tuition, fee collection, and other financial office functions as directed.
  • Maintain confidentiality of sensitive student, employee, and school information.
  • Foster a welcoming and professional environment for all members of the school community.
  • Support and uphold the mission, values, and teachings of Catholic education.
Job Requirements
  • High school diploma required; associate's or bachelor's degree preferred.
  • Minimum of two years of administrative, office management, or customer service experience preferred.
  • Previous experience in a school, nonprofit, or church environment is a plus.
  • Strong organizational and time-management skills with the ability to prioritize multiple responsibilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and other office technology systems.
  • Ability to work independently while collaborating effectively with faculty, staff, students, and families.
  • Strong attention to detail and commitment to accuracy.
  • Ability to handle sensitive information with discretion and professionalism.
  • Support for the mission and values of Catholic education.
