Job summary

PerimeterSecurityPartners seeks a Maintenance and Service Project Manager to oversee ACP maintenance contracts, coordinate with clients and subcontractors, and manage work schedules across locations. The Service PM liaises with clients to identify requirements and ensures cost-effective execution.

Responsibilities include preparing reports, subcontracts, and proposals; close-out documentation; and site access coordination with PSP staff to support field technicians.

Qualifications

• Associates degree in business administration, management, electronics, engineering technology, logistics, or related field is required.
• Bachelor's degree is preferred.
• 2+ years in a professional work environment.
• 2+ years in office management, executive assistant, or project administrator role preferred.
• 2+ years in industrial maintenance, MEP service, engineering, general contracting, logistics, or Federal Government contracting preferred.
• Advanced proficiency with MS Excel, Word, and other MS Office applications.
• Must possess a valid driver's license.
• Must be able to work in the United States without sponsorship.

Responsibilities

• Identify and coordinate the execution of all work and reporting requirements of assigned contracts.
• Coordinate with service department technicians; inform Senior Service PM of progress.
• Collect and organize electronic documentation after each visit and prepare close-out documents.
• Develop service and maintenance proposals with quotes and cost sheets.
• Track status of service orders and perform detailed execution planning.
• Communicate with vendors, subcontractors, and customers via email and phone.

The MaintenanceandServiceProjectManager(PM)isresponsibleforoverseeingandmanagingaccesscontrolpoint(ACP)MaintenanceandService(M&S)contractsandtaskorderstoensurecompliancewithapplicablerequirements.TheServicePMliaiseswithclientsandothersasneededtoidentifyworkandschedulerequirements,andcoordinateswithsubcontractorsand/orPSPpersonneltodeterminethemostappropriateandcost-effectiveexecutionmethodsforcontractedwork.TheServicePMcoordinateswiththeServiceManagertoadjusttechnicianschedules,provideadministrativeandmanagementsupporttofieldtechnicians,anddisseminateinformationtonecessarypartiesthrougheffectivecommunication.

TheServicePMperformsavarietyofadministrativefunctionstomanagecontracts,taskordersandsubcontracts,toincludepreparingreports,developingsubcontractdocuments,anddraftingproposals.TheServicePMreportsdirectlytotheSeniorServicePM.

Duties:

• Identifyandcoordinatetheexecutionofallworkandreportingrequirementsofassignedcontracts.CoordinatewithintheServiceDepartmenttoobtainthenecessaryresourcestosuccessfullymeetallrequirements.
• Performrecurringcoordinationwithclientsandservicedepartmenttechnicians,keepingtheSeniorServicePMandothersinformedonworkprogressandsupportneededateachlocation.
• Collectandorganizeelectronicdocumentationfollowingeachrepairorpreventivemaintenancevisit,includingcompilingreceipts,reviewingcompletedchecklists,obtainingclientapprovalsignature(s),composingtechnicianreports,andotherclose-outdocuments.
• Developserviceandmaintenanceproposals,toincludegatheringmaterialandequipmentquotes,formattingcostsheets,andwritingtheproposal.
• Trackthestatusofallawardedserviceordersandperformdetailedexecutionplanningtomeetcontractualrequirements.
• Conductroutinecommunicationwithvendors,subcontractors,andcustomers,includinge-mailandtelephoniccontact.
• IncoordinationwiththeServiceManager,providesupporttotechniciansinadvanceofrepairsorpreventivemaintenancevisitsbycoordinatingsiteaccess,sourcingequipment,partsandconsumablematerialsneededforthework,andpreparingchecklistsandotherdocumentationinadvanceofthetrip.
• CoordinatewithPSPpersonneltoimprovepurchasingandmaterialmanagementprocessesacrossallbusinesslines.
• Performtelephonicdispatchdutiesfor24/7emergencycallsonarotationalbasis.
• Provideremoteassistanceandadministrativesupporttotechniciansasneeded.
• Whenapplicable,manageU.S.ArmyCorpsofEngineersprojectswithintheironlineQualityControlSystem:
  • Developandprocessdaily,weeklyandmonthlyreports
  • Preparetransmittalformsforallsubmittals
  • Updatescheduleprogress
  • TrackGovernmentapprovalsofallsubmittalsandreports
• PerformotheradministrativeandmanagementtasksasdirectedbytheSeniorServicePM.

Requirements,Skills,andQualifications:

• 2ormoreyearsofexperienceinaprofessionalworkenvironmentisrequired.
