Job summary

Blue Coral Staffing Corp. in New York City seeks a Client Services Associate / Specialist with luxury hospitality experience, ideally in private aviation, to join the Operations team.

You will manage private jet/charter requests from inquiry to post-flight follow-up and coordinate with operators, pilots, and vendors. The role requires strong organization, exceptional client communication, and the ability to stay calm under time-sensitive conditions in a 24/7 operation.

Qualifications

• 2 to 3+ years of luxury hospitality-focused experience (ideally in private aviation, private corporate travel, or similar)
• Proven operations/administrative experience with the ability to be client-facing
• Ability to work in-office Monday through Friday (9:00am to 5:00pm) and be on-call after hours for a 24/7 operation
• Bachelor's level degree preferred but not required if industry experience is relevant
• Excellent verbal and written communication skills
• Proficiency with scheduling systems and CRM platforms (Salesforce preferred)
• Strong client-service mindset with a white-glove approach
• Strong operational, communication, organizational, time management, analytical, problem-solving and attention to detail skills
• Ability to manage multiple priorities simultaneously under pressure in a fast-paced environment

Responsibilities

• Manage client private jet/charter requests from initial inquiry through post-flight follow-up
• Coordinate with operators, pilots, and third-party vendors including catering and ground transportation
• Build & manage detailed flight itineraries, trip logistics, etc.
• Monitor flight schedules, weather, aircraft status, and operational changes in real time
• Provide proactive, professional communication to clients before, during and after flights; conduct flight following and ensure smooth execution of all trips
• Ensure compliance with all safety, regulatory, and operational standards
• Assist with flight services including catering, transportation, and special client requests
• Support administrative, analytical, and reporting tasks related to flight operations
• Assist accounting with billing, invoicing, and post-trip reporting
