Job summary

HEI Hotels & Resorts is seeking an experienced Convention Services professional to manage in-house groups, meetings, and events as the primary liaison between clients and resort operations on-site. You will ensure flawless execution through proactive communication, meticulous planning, and visible leadership throughout events.

The role requires strong organizational skills, hospitality expertise, and the ability to coordinate across Banquets, Culinary, and Sales teams.

Qualifications

• Minimum 1 year in Convention Services, Catering Sales, Conference Services, Event Management or related hospitality field.
• High School Diploma or equivalent required; Bachelor's Degree preferred.
• Strong knowledge of hotel sales, catering, and event management systems.
• Excellent organizational and time-management skills with ability to manage multiple priorities.
• Ability to anticipate client needs and resolve issues quickly and professionally.

Responsibilities

• Serve as on-site liaison for clients and resort operations during groups, meetings and events.
• Provide exceptional service through proactive communication and meticulous planning.
• Communicate with CS Manager, Banquet and Culinary teams for changes on event orders and floor plans.
• Conduct daily walkthroughs of event spaces prior to client arrival.
• Address setup discrepancies and coordinate corrective actions with resort departments.
• Maintain visible presence during events and resolve issues to protect guest experience.
• Meet with clients daily to confirm satisfaction and identify evolving needs.
• Coordinate with Meeting Concierge to relay requests between clients and resort departments.
• Provide timely event updates to departments on attendance, timing, and logistics.
• Ensure event signage is accurate and properly displayed.
• Conduct site inspections on behalf of remote sales managers and support resort sales efforts.
• Prepare shift-end recaps with client feedback and follow-up actions.
