Luxury Group Reservations Specialist

Job summary

PERG online is seeking a Reservations Specialist in Frisco, TX to ensure efficient handling of group bookings and seamless collaboration with Sales and Convention Services. You will support the Reservations Manager and Director of Revenue Management in day-to-day operations.

Responsibilities include reviewing blocks, attending meetings, generating arrivals/no-show reports, validating guest details, and coordinating with group clients on billing and lists.

Qualifications

• Knowledge of four-diamond / four-star customer service standards.
• Luxury Hotel Customer Service / Reservations experience preferred.
• Experience with Delphi, Opera ORS and Opera PMS preferred.
• Experience with Passkey, NomadixCMS and iMeetingPlanner preferred.
• Proficient in Microsoft Office, Excel and Word.
• Excellent communication and highly detailed and organized.
• Ability to multitask for 50-60 future groups.

Responsibilities

• Review group blocks cut-off date extensions and monitor blocks before/during/after dates.
• Attend weekly group pick-up meetings.
• Run daily group arrivals lists, future arrivals, and no-show reports.
• Check for duplicate reservations by calling all similar name reservations.
• Check for group reservation errors and verify information with callers.
• Report to Reservations Manager and Director of Revenue Management.
• Work with Convention Service Manager on group rooming lists and billing.
• Complete Group Commission Report after group departure.
• Monitor room type availability daily.
• Monitor non-guaranteed reservations and cancel when required.
• Create and maintain group & transient room blocks with correct billing.
• Complete competition rate analysis as needed.
• Handle in-house reservations calls and OmniRez agents for assistance.
• Monitor Internet and FIT bookings, availability, and billing; process commissions.
• Assist VIP and internal reservations; communicate issues to managers.
• Assist with fax and email reservations.
• Research outstanding Travel Agent Commissions for groups.
• Research and charge for no-shows, cancellations, and deposits.
