Edgewood Tahoe Resort is seeking a Catering Coordinator to support the Catering Sales Manager in selling, planning, and coordinating all catered events. The role emphasizes client engagement, meticulous organization, and collaboration with internal teams to deliver world-class events.

Responsibilities include preparing proposals, contracts, pricing, and BEOs, coordinating site inspections, and ensuring timely communication across departments.

Qualifications

• Minimum of 2 years in catering sales, luxury hospitality, or event planning.
• Strong organizational and multitasking skills with exceptional attention to detail.
• Exceptional interpersonal and communication skills.
• Detail-oriented with strong organizational and problem-solving abilities.

Responsibilities

• Assist with preparing proposals, contracts, and pricing to prospective clients while maximizing revenue.
• Respond promptly and professionally to client requests while maintaining Forbes luxury service standards.
• Coordinate site inspections, property tours, and client meetings.
• Support the sales team in achieving departmental revenue goals.
• Manage event documentation and ensure accuracy of all contracts and event details.
• Coordinate communication between catering, culinary, banquet, housekeeping, front office, and other operational departments.
• Assist in the preparation and distribution of BEOs.
• Monitor event timelines and ensure all client requirements are communicated effectively.
• Support on-site event execution as needed to ensure client satisfaction.
• Maintain accurate client files, contracts, and event records.
• Process deposits, billing information, and event-related paperwork.
• Manage departmental calendars, meeting schedules, and correspondence.
• Deliver personalized service that reflects the resort's luxury brand standards.
• Build strong relationships with clients, vendors, and internal partners.
• Anticipate guest needs and proactively resolve concerns.
• Perform other related duties as assigned to support the overall success of the team and business.
