Job summary

Wings Event Center, part of Greenleaf Hospitality Group, seeks an experienced Special Events Coordinator to plan, detail, and execute events. You will work closely with the Special Events Manager, clients, vendors, and internal teams to translate requirements into actionable directions and ensure a high-quality guest experience.

Qualifications

• Previous experience in events, hospitality, venue operations, or related fields.
• Experience with event booking, event management, or ticketing platforms is preferred.
• Proficiency with Google Workspace (Gmail, Docs, Sheets) is expected.
• Experience with AutoCAD, Event Draw or similar design tools will be preferred.
• Experience with Canva and social media (Instagram, Facebook) is a plus.
• Ability to learn Momentus and other event management systems.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication; able to manage multiple events and deadlines.

Responsibilities

• Work closely with the Special Events Manager to detail, coordinate, and execute assigned events.
• Serve as on-site contact for assigned events and provide operational support before, during, and after events.
• Create and maintain production sheets, event orders, layouts, and schedules for internal teams.
• Coordinate client needs with Food & Beverage, Engineering & Facilities, Set Up, Guest Relations, Security, Ticket Office, Marketing, and others.
• Utilize Momentus for event scheduling, contracting, detailing, billing, and customer data.
• Create and update layouts and seating diagrams using AutoCAD web or Event Draw.
• Respond to inquiries, gather event details, qualify opportunities, and advance them through the sales process.
• Manage event setup, logistics, and load-out; communicate needs to staff and vendors.
• Monitor guest flow, entrances, signage, and safety considerations to ensure a positive guest experience.
