Job summary

Echo Electric, a brand owned by Sonepar, is seeking a Lighting Project Coordinator to join our growing team. This role supports the quotations group by managing bid activity, coordinating quote requests, and keeping accurate job information with timely status updates.

The position also supports smaller projects from bid through delivery by coordinating with customers, factory representatives, manufacturers, the warehouse, and internal teams. Monday-Friday, 7 AM to 4 PM, with flexibility.

Responsibilities

• Manage the quotations bid board and keep job status information accurate and current.
• Create jobs in the bidding software, enter customer information, and load extracted electrical plan pages.
• Request quotes from factory representatives, follow up as needed, and move received quotes to the associated job in the bidding software.
• Monitor the Quotes Inbox and route non-lighting requests to the appropriate department.
• Communicate daily with the quotations team and provide a morning update on quote requests, open jobs, bid extensions, delays, and other priorities.
• Maintain current factory and manufacturer representative contact lists.
• Communicate with customers regarding fixture counts, bid extensions, delays, project expectations, timelines, and status updates.
• Initiate return goods authorizations and coordinate with the warehouse and factory to ensure material is returned and customer credit is completed.
• Supports smaller projects and assists with project coordination as workload allows.
• Communicates project scope and timelines and supports cross-functional teams, including quotations, sales, and warehouse operations.
• Works with representatives and manufacturers to maintain deliveries, identify potential roadblocks, and develop solutions that keep projects on track.
• Manages change orders, maintains complete project files, and communicates project changes to the team.
• Confirms invoicing, receiving, returns, and credits are complete before project closeout.
