Job summary

Echo Electric, a Sonepar brand, seeks a solution-driven Lighting Project Coordinator to support the quotations team, manage bid activity from bid through delivery, and work Monday–Friday, 7 AM to 4 PM with flexibility. You'll coordinate quotes with factory reps, enter customer data, load electrical plan pages, monitor the Quotes Inbox, and provide daily updates to cross-functional teams.

Qualifications

• 1+ years of admin, quotations, customer service, or project coordination experience.
• Teamwork and willingness to jump in to keep quotes and projects moving.
• Growth-oriented approach to meeting customer needs and team success.
• Ability to prioritize and adapt in a fast-paced environment.
• Proactive mindset to anticipate needs and solve problems.
• Strong attention to detail across multiple jobs and projects.
• Clear written and verbal communication with customers and teams.
• Strong computer skills and ability to learn bidding/project management software.
• Lighting and/or controls background preferred.

Responsibilities

• Manages the quotations bid board and keeps job status information accurate and current.
• Creates jobs in the bidding software, enters customer information, and loads extracted electrical plan pages.
• Requests quotes from factory representatives, follows up as needed, and moves received quotes to the associated job.
• Monitors the Quotes Inbox and routes non-lighting requests to the appropriate department.
• Communicates daily with the quotations team and provides a morning update on quote requests and priorities.
• Maintains current factory and manufacturer representative contact lists.
• Communicates with customers regarding fixture counts, bid extensions, delays, and timelines.
• Initiates return goods authorizations and coordinates with warehouse and factory-owned credits.
• Supports smaller projects and assists with project coordination as workload allows.
• Communicates project scope and timelines and supports cross-functional teams.
• Works with representatives and manufacturers to maintain deliveries and develop solutions.
• Manages change orders and ensures proper project files and closeout documentation.
• Confirms invoicing, receiving, returns, and credits are complete before project closeout.
