Job summary

Veeva Systems is seeking a Congress Engagement Coordinator to join our Work Anywhere team. The role focuses on day-to-day execution of congress engagement logistics and serves as the primary coordination resource for customer engagement activities.

You'll manage meeting requests, scheduling updates, attendee communications, and on-site support, collaborating with customer teams, thought leaders, vendors, and internal stakeholders to ensure engagements run smoothly.

Qualifications

• 2+ years in event coordination or congress management.
• Excellent attention to detail and organization.
• Strong communication and stakeholder management.
• Ability to manage multiple priorities in fast-paced settings.
• Experience with scheduling platforms, CRM systems, or event technologies preferred.
• Experience in life sciences, healthcare, or pharmaceutical events preferred.
• Ability to travel for on-site congress support, ~40% expected.

Responsibilities

• Manage congress engagement logistics from planning through execution.
• Coordinate meeting requests, updates, schedules, and attendee communications.
• Maintain accurate engagement records and tracking systems.
• Monitor action items and follow-up across teams.
• Serve as primary operational contact for assigned congress programs.
• Coordinate room schedules and attendee requirements.
• Support thought leader and employee communications.
• Troubleshoot logistical issues and elevate risks.
• Provide on-site support during congress execution.
• Create reports, reconciliation, and post-congress activities.
• Support multiple therapeutic areas within customer accounts.
