Job summary

The North Dakota Legislative Council is seeking an Administrative Assistant to provide comprehensive support to the director and staff. You will manage correspondence, calendars, and document handling while ensuring orderly records and efficient office operations.

Strong communication and discretion are essential. Responsibilities include coordinating travel, assisting with committee schedules, preparing meeting materials, and maintaining files.

Qualifications

  • Associate’s degree or 7 years of office support/administration experience, or an equivalent combination.
  • Computer skills including Microsoft 365; knowledge of English usage, spelling, and punctuation.

Job description

The Legislative Council is the full-time legislative service agency for the Legislative Assembly. The Legislative Council staff perform various tasks such as budget review, legislative research, bill drafting, interim committee staffing, as well as publication and distribution of Session Laws, the North Dakota Century Code, and the North Dakota Administrative Code. The Legislative Council staff consists of attorneys, accountants, policy analysts, and information technology and legislative administrative specialists who serve on a strictly nonpartisan basis.

Summary Of Work

Under the direction of the director, provides administrative assistance for the Legislative Council and the Legislative Assembly; maintains appropriate records; makes administrative arrangements for the Legislative Council staff; and performs other duties as directed.

Administrative Duties
  • Provide administrative and clerical support to the Legislative Council director including preparing correspondence, mailing, scanning, copying and compiling electronic documents, and maintaining and organizing both written and electronic files.
  • Track appointments of legislators to boards and commissions.
  • Assist in prefiled bill committee assignment process.
  • Schedule director's meetings, prepare discussion documents, and take summary notes for dissemination to participants.
  • Assist in travel arrangements for staff and legislators, including conference registration, lodging, and airfare.
  • Assist with preparing agendas and scheduling committee hearings.
  • Assist in the preparation of correspondence, memorandums, and reports.
  • Maintain schedule of major office projects and tasks.
  • Track conference attendance and professional development of Legislative Council staff.
Essential Knowledge, Skills, And Abilities
Knowledge
  • Office technologies and software (e.g., Microsoft 365, Adobe PDF, PowerPoint).
  • Legal and legislative terminology, grammar usage, and punctuation.
  • Profound understanding of professional office management, executive scheduling, and administrative protocols.
  • Familiarity with legislative processes, committee structures, and the functional layout of North Dakota state government.

Minimum Qualifications

Requires an associate's degree in business administration, office management, or related field or an equivalent or 7 years of experience in office support, administration, business, or business management; experience that includes performing a variety of high-level office support, clerical, or secretarial duties; coursework in a related field may substitute for the work experience requirement on a year-for-year basis; computer skills (knowledge of personal computers and Microsoft 365); and knowledge of correct English usage, spelling, and punctuation
