Elevate Legal Talent is seeking a Legal Executive Assistant to support senior legal leaders in a fast-paced corporate environment. This full-time, onsite role is based in Houston, TX, and involves complex governance workflows and cross-functional collaboration.

You will manage complex calendars, travel, preparing materials, coordinating contracts, and maintaining confidential records with meticulous attention to detail.

Qualifications

  • 5+ years supporting senior executive leaders in a fast-paced corporate environment.
  • Ability to manage complex calendars, prioritize competing demands, and meet tight deadlines.
  • Excellent written and verbal communication; ability to draft polished correspondence.
  • High discretion and sound judgment handling confidential information.
  • Advanced proficiency with Microsoft Office (Outlook, PowerPoint, Word, Excel).
  • Familiarity with contract/document management tools and/or e-billing is a plus.

Responsibilities

  • Manage complex calendars, meetings, travel, and expense reporting for senior leaders.
  • Prepare, format, and proofread executive-ready materials for internal/external meetings.
  • Maintain document and approval workflows, including routing, version control, and timely follow-up.
  • Track deadlines and deliverables across multiple workstreams and stakeholders.
  • Plan and coordinate department meetings, offsites, events, and special projects.
  • Handle sensitive, confidential information with discretion.
  • Manage legal intake coordination, scheduling, and deadline tracking (matters, governance, and regulatory calendars).
  • Coordinate contract intake, tracking, routing, signatures, and repository organization; assist with templates as needed.
  • Prepare and maintain agendas, minutes, and action logs with confidentiality.
  • Coordinate outside counsel scheduling, onboarding/engagement logistics, and invoice workflows aligned to billing processes.

Job description

Elevate is seeking a Legal Executive Assistant with one of the leading automotive retail company to provide high-level administrative and operational support to senior Legal leadership in a fast-paced corporate environment. This is a full-time, onsite role based in Houston, TX and offers the opportunity to support complex legal and corporate governance workflows while partnering closely with cross-functional stakeholders.

Location: Onsite (Houston, TX)

Type: Full-time, permanent/direct hire

Salary Range: $95,000-$125,000

Key Responsibilities
  • Manage complex calendars, meetings, travel, and expense reporting for senior leaders.
  • Prepare, format, and proofread executive-ready materials for internal/external meetings.
  • Maintain document and approval workflows, including routing, version control, and timely follow-up.
  • Track deadlines and deliverables across multiple workstreams and stakeholders.

  • Handle sensitive, confidential information with discretion.
