Starting Salary Range: $54,808 - $62,000
The State Corporation Commission’s(“SCC” or “Commission”) Division of Utility and Railroad Safety(“URS” or “division”) seeks a professional and detail-oriented Legal Administrative Assistant. Reporting to the Director of URS, the Legal Administrative Assistant will mainly provide support to the division’s damage prevention section by managing damage prevention report intake into the division’s database. This position, based in Richmond, offers a hybrid work schedule (generally 3 days of telework, 2 days in the office per week) as well as professional development and training opportunities.
Essential Duties and Responsibilities
- Managing the damage prevention enforcement process, to include: tracking and organizing all damage prevention enforcement documents related to the Underground Utility Damage Prevention Act; creating, drafting, processing, and mailing damage prevention enforcement letters and draft settlement orders, creating case requests; and filing documents in iDocket
- Entering information into the division’s database and verifying it against information in other databases, like the SCC’s Clerk Information System
- Ensuring that the division’s system of record for damage prevention investigations has all related documents included to complete case files
- Proofing enforcement letters to ensure information matches the reported violation
- Supporting the SCC’s Office of General Counsel in preparation for litigation, reviewing testimony, preparing documents and subpoenas, ensuring proper service of process, and reviewing draft settlement orders
- Reviewing draft settlement orders and preparing them for Commission review and filing, depositing checks, completing deposits, and managing the division’s debt set off program
- Performing administrative duties such as answering the phone, mailing certified letters, and other division-wide administrative duties
- Performing other related work as required
Preferred Qualifications
- 4 or more years of experience preparing, editing, and filing legal documents; maintaining court records and/or preparing exhibits for court; and/or entering and maintaining data in legal systems
- Knowledge of Virginia’s Court System and applicable filling system procedures
- Knowledge of legal documents and service of process
- Strong attention to detail
- Excellent proofing and editing skills
- Excellent written and oral communication skills
- Ability to understand the damage prevention act to apply it to entering reports into the database
- Ability to express ideas clearly, both verbally and in writing
- Ability to establish and maintain effective working relationships
- Highly proficient in the use of a personal computer, especially with Microsoft Office Suite
- Any experience with Microsoft SharePoint is a plus
- Any experience with the SCC’s rules of practice and procedures and systems is a plus
