Job summary

Chicago Public Schools (CPS) is seeking an Administrative Assistant to support the Office of Administrative Hearings (OAH) and the Legal Investigations Unit (LIU). Reporting to the Executive Director, you will coordinate schedules, manage calendars, issue notices, and liaise with attorneys, union reps, and administrators to facilitate hearings.

This full-time, non-exempt role requires a high school diploma (Bachelor’s preferred), at least three years in a customer-facing admin role, and strong

Qualifications

  • High school diploma or GED required; bachelor’s degree preferred.
  • Minimum of three years in a customer-facing administrative role.
  • Experience supporting legal or human resources staff preferred.

Responsibilities

  • Schedule discipline and grievance hearings.
  • Issue scheduling notices to hearing participants.
  • Schedule and distribute Google Meet invitations for virtual hearings.
  • Manage OAH’s calendar on an ongoing basis.
  • Interact with OAH hearing officers, union representatives, principals, network chiefs, department heads, attorneys, and Board staff to facilitate hearings.
  • Process file requests from internal and external parties as needed.
  • Maintain data related to scheduling and hearings; update communications accordingly.
  • Prepare reports for review within OAH and CPS Law Department.
  • Update OAH database systems daily; redact documents as required.
