Job summary

Bay Family of Companies is seeking a Leasing Coordinator to oversee the leasing of facilities and equipment across all sites nationwide and to support fleet management. You will build strong relationships with Plant/Warehouse Managers and coordinate vendors and contractors for maintenance and compliance.

The role requires an associate degree, 2+ years in facilities or fleet coordination, and solid Excel/Word skills. Travel may be required.

Qualifications

• Associate’s degree in business or related field is required.
• 2+ years coordinating facilities or fleet at corporate level preferred.
• 2+ years of corporate experience with commercial insurance preferred.
• Experience with contract administration preferred.

Responsibilities

• Coordinate leasing of operational sites nationwide.
• Build relationships with Plant/Warehouse Managers to ensure proper equipment.
• Organize vendors and contractors for facilities maintenance.
• Perform routine contract administration.
• Respond to inquiries about vehicle and facilities leases.
• Enter and track data for vehicle and equipment orders.
• Review documents to meet guidelines and third-party leasing requirements.
• Assist with preparing files and reports.
• Occasional overnight travel may be required.
• Maintain vendor certification program including risk management and COI.

Description

The Leasing Coordinator will be responsible for the coordination of facilities and equipment leases as well as fleet management for all sites within the Bay Family of Companies.

Essential Duties and Responsibilities:

• Coordinate the leasing of operational sites throughout the country
• Build strong and consultative relationships with Plant/Warehouse Managers to ensure that each location has the appropriate equipment needed for business operations
• Organize vendors and contractors needed to maintain all facilities
• Perform routine contract administration duties
• Respond to inquiries from management about vehicle and facilities leases
• Enter and track data relating to vehicle and equipment orders
• Review contract documents and associated worksheets to make sure they meet guidelines and are acceptable to third party leasing organizations if necessary
• Assist with the preparation of files, documents, and reports as needed
• Occasional overnight travel is possible with this position
• Maintain vendor certification program including risk management and certificates of insurance

Requirements

Education and Experience:

• Associate’s degree in business or related field, required (bachelor’s degree, preferred)
• 2 or more years of corporate level experience coordinating facilities or fleet, preferred
• 2 or more years of corporate level experience with commercial insurance, preferred
• Previous experience with contract administration, preferred
