Job summary

Park Madison Property Management LLC seeks a Lease Administration Manager to own end-to-end lease administration for a nationwide portfolio of office and retail assets. You will ensure accurate billing, manage CAM, escalations, and collections, and collaborate with accounting and legal teams.

You will input leases in Yardi, run monthly reports, and support annual budgeting while maintaining current tenant records and ensuring compliance across the portfolio.

Qualifications

• Bachelor's degree in Real Estate, Accounting, Finance, or a related discipline.
• 5+ years of relevant experience in commercial lease administration.
• Hands-on Yardi experience required.
• Comfortable juggling competing deadlines and shifting priorities.
• Strong interpersonal and tenant-facing communication skills.
• Analytical, resourceful, and able to work through problems independently. Solid working knowledge of Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP) and Adobe Acrobat.

Responsibilities

• Review and abstract new leases and amendments in Yardi.
• Set up rent, expense pools, escalations, utilities, and deposits accurately.
• Coordinate lease packages with accounting and manage commencements/terminations.
• Keep tenant account records current and assist with portal access issues.
• Compile and report monthly retail and parking gross sales figures.
• Perform periodic audits of lease billing to confirm charges are accurate and supported.
• Run monthly billback calculations and apply recurring charges and credits.
• Own CAM, real estate tax, and insurance reconciliation, including tenant billing and year-end delivery.
• Assist with annual budget by confirming lease terms align with billing.
• Track critical lease dates, deadlines, and guarantor requirements.
• Process TI reimbursement requests and manage related POs in Yardi.
• Draft estoppel certificates, SNDAs, and other tenant documents.
• Partner with property management, accounting, and legal to stay compliant.
