Job summary

Addison Group in Chicago, IL is seeking an experienced Intake Manager for a small, collaborative law firm handling complex medical-related matters. You will lead the client intake function from inquiry to initial screening and coordinate with attorneys, paralegals, and staff to ensure timely, compassionate service.

Qualifications

• Previous experience in a legal intake department or similar client-intake environment is required.
• Experience supervising employees, workflows or an intake function.
• Strong understanding of the legal intake process and ability to manage matters from inquiry to resolution.
• Excellent verbal communication and empathy for sensitive client interactions.

Responsibilities

• Lead day-to-day operations of the client intake function and oversee intake staff.
• Manage inquiries from referrals, online channels, marketing, and other sources.
• Conduct detailed initial conversations to gather background and case information.
• Communicate professionally with individuals and families discussing sensitive circumstances.
• Maintain records of prospective matters and ensure follow-up at all stages.
• Coordinate and distribute engagement documents and intake paperwork.
• Ensure timely follow-up to obtain outstanding information and documentation.
• Coordinate requests for medical records and monitor through completion.
• Organize incoming records for attorney review.
• Explain next steps when matters are accepted, declined, or referred.
• Transition approved matters to the legal team after intake is complete.
• Maintain organized intake files, tracking systems, and documentation to prevent drop-offs.
• Collaborate with attorneys, paralegals, and internal staff on intake priorities.
