Lead Administrative Support - Ministries
Job Description
Summary of Position:
This role supports the Lead Pastor of Ministries with day-to-day tasks like communication, scheduling, records, meetings, and events. If you love helping people, have a knack for organization, and desire to serve our church community, we warmly welcome you to apply.
Status: Part-time, up to 30 hours per week.
Schedule: Monday – Thursday, with occasional weekend and evening events.
Start Date: 8/29/2026 (flexible)
Reporting Relationship: Pastor of Ministries
Duties and Responsibilities:
Support to Lead Pastor of Ministries
- Manage calendar to maximize the pastor's time by vetting, prioritizing, and scheduling all appointments
- Filter communication workflows by screening incoming emails, calls, and requests to resolve issues independently when possible
- Prepare meeting materials such as draft agendas, correspondence, reports, and presentations as needed
- Act as a consultant to provide creative input as requested by the area lead pastor
- Act as a liaison by representing the area lead pastor accurately in communications with church members, leaders, and external guests
Departmental & Team Support
- Track deadlines, follow ups, and deliverables for all teams under the area pastor
- Support accurate data management in church RMS software around records, group rosters, and event registrations as it pertains to area pastor’s teams while maintaining confidentiality with sensitive church and ministry information
- Facilitate meeting logistics and hospitality while ensuring action items are documented
- Meet regularly with other departmental admins to ensure communication, collaboration, and alignment cross departmentally for shared organizational impact
- Maintain accurate records, rosters, registrations, and ministry databases
- Assist with volunteer communication, scheduling, onboarding, and follow-up
- Keep ministry area tasks, deadlines, and project details organized and sharable
- Help improve office systemsand administrative processes across the department
Qualifications & Competencies
- Excellent written and verbal communication skills
- Detail-oriented and organized;
- Ability to handle sensitive information with absolute confidentiality
- Relational and collaborative with high emotional intelligence
- Proficient in Microsoft Office Suite, Google Workspace, and other online applications
