Job summary

TEKsystems is seeking an entry-level Documentation & Records Assistant to support the mortgage loan document lifecycle in a hybrid Vienna, VA setting. You will handle incoming documents, index records, and maintain accurate databases while coordinating with loan delivery and imaging teams.

Responsibilities include filing, indexing, data entry, and basic research to ensure complete, compliant records. The role offers contract-to-hire opportunities and benefits typical for temporary staff.

Qualifications

• Entry level position requiring a minimum of 2 years of experience.
• Basic computer proficiency for digital tracking and data entry.
• Nice to Have: REL Mortgage or Legal background they can be taught.

Responsibilities

• Incoming Notes: Receive critical mortgage documents daily, ensure completeness, and prepare for filing in the records vault.
• DOT Prep: Receive, prepare, and accurately index terminal digit mortgage documents in sequential order for efficient lookup and review.
• File/Pull Documents: Mastery of terminal digit filing system, and ability to return and retrieve critical documents to their correct locations in a timely manner.
• Log Documents: Review system of records and update mortgage loan servicing system confirming receipt of original documents.
• Manage, research, and update Record Management Database for tracking purposes, including full inventory of critical loan documentation for active portfolio.
• Imaging Documents: Image mortgage documents using a Fujitsu scanner, validate scanned documents, and ensure correct repositories are updated.
• DOT Shipment: Prioritize and forward investor-mandated documentation to Loan Delivery for GNMA and private investor pool certifications.
• Kofax Validation: Review scanned mortgage documentation, index images, and validate imaged documents reflect correct document type.
