Job summary

Staff Perm is hiring an Inventory Coordinator in Wilsonville, OR to manage asset inventory for airborne Applications Engineering operations. You will maintain asset records, coordinate shipments, ensure compliance with trade regulations, and support audit readiness and process improvements.

You will work with Applications Engineering and Sales to allocate demo assets for events and customer trials, test system functionality before shipments, and perform cycle counts to ensure accuracy.

Qualifications

• US citizen or Permanent Resident
• Experience in supply chain logistics or logistics planning in defense/EO/IR tech
• Knowledge of US and international trade compliance regulations and global shipping requirements
• Hands-on learner bridging logistics and product operations by learning system functionality

• Strong interpersonal and communication skills across all levels and cross-functional teams
• Team-oriented but capable of working independently with minimal oversight

Responsibilities

• Maintain up-to-date records in the asset management system including status, location, ownership and usage history
• Coordinate demo asset shipments, transfers, returns and disposals with regional regs and business priorities
• Prepare documentation for global logistics including export controls, customs forms and certificates of conformance
• Develop, maintain and enforce asset lifecycle policies and procedures
• Schedule and allocate demo assets for events and customer trials with Applications Engineering and Sales teams
• Test system functionality before shipments leave and after return
• Schedule and track inventory repair with local service department
• Conduct periodic audits and cycle counts to validate inventory accuracy
• Track asset condition and disposition actions for aging or non-compliant equipment
• Collaborate with Global Trade Compliance to ensure ITAR/EAR compliance
• Assist in training onboarding for asset management tools and procedures
• Generate recurring and ad hoc inventory reports for leadership, audit support and reconciliation

Join our team as an Inventory Coordinator specializing in asset management, where your skills in maintaining precise inventory records and ensuring compliance will be vital to our airborne Applications Engineering operations.

As the Inventory Coordinator, you will be the key administrative and logistical support for managing demonstration asset inventory. Your role includes maintaining accurate records in the corporate asset management system, coordinating equipment movements, performing functional checks on demo shipments, and ensuring compliance with global trade regulations. You will also contribute to developing inventory control processes and support sales enablement and audit readiness.

Responsibilities

• Maintain up-to-date records in the corporate asset management system, including asset status, location, ownership, and usage history.
• Coordinate demo asset shipments, transfers, returns, and disposals in alignment with regional regulations and business priorities.
• Support preparation of documentation required for global logistics, including export control documentation, customs forms, and certificates of conformance.
• Assist in the development, maintenance, and enforcement of asset lifecycle policies and procedures.
• Partner with Applications Engineering and Sales teams to schedule and allocate demo assets for upcoming events and customer trials.
• Assist team members in testing of system functionality before shipments leave the facility and upon their return to the facility.
• Work closely with the local service department to schedule and track inventory repair requirements to assure operational capability of all demo assets.
• Conduct periodic audits and cycle counts to validate inventory accuracy and reconcile discrepancies.
• Track asset condition and recommend disposition actions for aging or non-compliant equipment.
• Collaborate with the Global Trade Compliance team to ensure adherence to ITAR, EAR, and regional trade requirements.
• Assist in training and onboarding of new personnel on asset management tools and inventory procedures.
• Generate recurring and ad hoc inventory reports for leadership visibility, audit support, and financial reconciliation.

Required Qualifications

• Must be US Citizen or Permanent Resident
• Previous experience in supply chain logistics, inventory management, or logistics planning in defense or EO/IR system technology product related field
• Previous experience/knowledge of U.S. and international trade compliance regulations and global shipping requirements.
• Hands‑on learner capable of bridging logistics and product operations by learning system functionality to support setup, verification, and shipment readiness testing.
• Proficiency with Microsoft Office applications including Excel, Word, and PowerPoint.
• Strong interpersonal and communication skills with the ability to effectively work across all levels of the organization and with cross‑functional teams.
• Team‑oriented self‑starter who can work independently with minimal oversight.
• Ability to adapt to fast-paced environments and prioritize multiple tasks efficiently.
• Capability to work in a physical environment requiring lifting and movement of objects weighing 50 lbs or more.

Preferred Qualifications

• Familiarity with CRM, SAP, or other ERP data systems is an advantage.
