Job summary

The Salvation Army USA Western Territory is seeking an Intake Coordinator for the Anaheim ARC to support the Adult Rehabilitation Program. You will screen applicants, manage intake processes, and maintain confidential beneficiary records.

You will also coordinate referrals, assist with inventory and dorm allocations, and prepare program reports for leadership. Strong organizational, communication, and customer-service skills are essential, along with a valid driver's license and experience with

• BA in a social service field preferred.
• Two years of verifiable professional experience required.
• High School/GED required.
• Valid driver's license with acceptable driving record.
• Proficiency with Microsoft Office; able to learn ARC software.

Responsibilities

• Screen applicants for program eligibility in center or partner sites.
• Coordinate intake processes and obtain signatures on agreements.
• Maintain beneficiary records and data entry in ARC systems (BITS).
• Outreach to referral sources to sustain referrals and program integrity.
• Assist with dorm assignments and inventory for intakes.
• Prepare reports for the Administrator and ensure confidentiality.

As our enthusiastic and hardworking Intake Coordinator, you will be responsible for (but not limited to):

• Conduct screening interviews at the center or at other community agencies and institutions with applicants seeking admission to the program. Confer with referral agents and other extra-agency personnel concerning prospective beneficiaries and request written background information when necessary. Screen individuals on the phone when appropriate. Determine program eligibility or referral based on the personal interview and written information.
• Refer ineligible applicants to other, more appropriate community agencies and institutions.
• Process admitted beneficiaries via program/available services orientation. Explain applicable rules and regulations.
• Obtain necessary signatures on all formal agreements; ensure new intake understands all key points.
• Initiate case record folders, complete all data entry in all pertinent areas of the ARC software (BITS), make ID cards.
• Dispense clothing requisitions- for new intakes. Take personal inventories of clothing and other belongings and arrange dormitory assignments in cooperation with Resident Manager; scheduling interviews with the Counselor or Chaplain.
• Maintain ongoing contact with current and prospective referral sources to ensure referrals are kept at an adequate level to maintain program integrity. Devote a minimum of four (4) hours weekly to direct outreach in surrounding communities using an ARC vehicle.
• Attendance at inter-agency meetings and conferences as needed or required.
• Preparation of any reports or statistical information as required by Administrator for Program.
• Maintain confidentiality of all records, including discharged files, as needed and required for program operation (CFR 42 & HIPAA). Prepare beneficiary files w/blank forms required by ARC Command.
• Crosstrain to cover Program Aide tasks as needed.
• Other duties as assigned by Administrator for Program.

Qualifications to be considered for this position:

• BA in a Social Service field preferred
• Two (2) years of verifiable professional related experience required
• High School graduate or equivalent (GED) required
• Possession of a valid Driver's License with acceptable driving record required
• Knowledge of Microsoft Office programs, MSWord, Excel, and Access with ability to learn additional software as appropriate.
• Excellent organizational skills with attention to detail
• Professional judgment and integrity in holding in confidence all information pertaining to beneficiaries, families, and co-workers
• Effective written and verbal communication skills
• Strong customer service skills with the ability to work with diverse populations

Schedule:

• Work schedules are determined by Management and employee must be flexible to always ensure adequate coverage.
• Full-time employees may be scheduled to work any full-time shift including evenings, weekends, and holidays.
