Job summary

The Salvation Army ARC Anaheim is seeking an Intake Coordinator to support the Adult Rehabilitation Program. You will conduct screening interviews at the center or with community agencies and determine program eligibility or referrals.

You will process admitted beneficiaries, maintain case records in ARC software, obtain signatures, and coordinate clothing and dorm assignments with staff. The role requires strong organizational and customer service skills.

Qualifications

  • BA in a Social Service field preferred.
  • Two years of verifiable professional related experience required.
  • High School graduate or equivalent (GED) required.
  • Possession of a valid Driver's License with acceptable driving record required.
  • Knowledge of Microsoft Office programs (MS Word, Excel, Access).
  • Excellent organizational skills with attention to detail.
  • Professional judgment and integrity in handling confidential information.
  • Effective written and verbal communication skills.
  • Strong customer service skills with diverse populations.

Responsibilities

  • Conduct screening interviews at the center or with community agencies; determine program eligibility or referral.
  • Refer ineligible applicants to other community agencies and institutions.
  • Process admitted beneficiaries via program orientation; explain rules and regulations.
  • Obtain signatures on all formal agreements; ensure intake understands key points.
  • Initiate case record folders; data entry in ARC software (BITS); make ID cards.
  • Dispense clothing requisitions; inventory belongings; arrange dormitory assignments with Counselor/Chaplain.
  • Maintain contact with referrals; perform at least 4 hours weekly outreach using ARC vehicle.
  • Attend inter-agency meetings and conferences as needed.
  • Prepare reports or statistical information for Administrator.
  • Maintain confidentiality of all records (CFR 42 & HIPAA).
  • Crosstrain to cover Program Aide tasks.
  • Other duties as assigned by Administrator for Program.

As our enthusiastic and hardworking Intake Coordinator, you will be responsible for (but not limited to):


  • Conduct screening interviews at the center or at other community agencies and institutions with applicants seeking admission to the program. Confer with referral agents and other extra-agency personnel concerning prospective beneficiaries and request written background information when necessary. Screen individuals on the phone when appropriate. Determine program eligibility or referral based on the personal interview and written information.

  • Refer ineligible applicants to other, more appropriate community agencies and institutions.

  • Process admitted beneficiaries via program/available services orientation. Explain applicable rules and regulations.

  • Obtain necessary signatures on all formal agreements; ensure new intake understands all key points.

  • Initiate case record folders, complete all data entry in all pertinent areas of the ARC software (BITS), make ID cards.

  • Dispense clothing requisitions- for new intakes. Take personal inventories of clothing and other belongings and arrange dormitory assignments in cooperation with Resident Manager; scheduling interviews with the Counselor or Chaplain.

  • Maintain ongoing contact with current and prospective referral sources to ensure referrals are kept at an adequate level to maintain program integrity. Devote a minimum of four (4) hours weekly to direct outreach in surrounding communities using an ARC vehicle.

  • Attendance at inter-agency meetings and conferences as needed or required.

  • Preparation of any reports or statistical information as required by Administrator for Program.

  • Maintain confidentiality of all records, including discharged files, as needed and required for program operation (CFR 42 & HIPAA). Prepare beneficiary files w/blank forms required by ARC Command.

  • Crosstrain to cover Program Aide tasks as needed.

  • Other duties as assigned by Administrator for Program.

Schedule:


  • Work schedules are determined by Management and employee must be flexible to always ensure adequate coverage.

  • Full-time employees may be scheduled to work any full-time shift including evenings, weekends, and holidays.
