Job summary

Vivo Infusion is seeking a Clinical Service Specialist in Aurora, CO to manage front-end operations of the infusion center, schedule patients, verify insurance benefits, and obtain authorizations. You will support clinical staff, help maintain HIPAA compliance, and contribute to a smooth, patient-focused experience in a fast-paced environment.

This full-time role reports to the Clinical Operations Manager. You will work Monday through Friday with shift times noted in posting, and may travel

Qualifications

• High school diploma or equivalent.
• Two years of administrative experience in a healthcare environment.
• Medical Assistant Certification or Medical Office experience preferred.
• One year working with insurance authorizations, benefits verifications, and billing preferred.
• Working knowledge of medical terminology.
• Active CPR/BLS prior to starting work.
• Typing 50+ wpm, MS Office proficiency, and experience with billing databases.
• Willingness to travel to other Vivo clinics if needed.

Responsibilities

• Manages front-end operations of the infusion center, including answering calls, greeting patients, maintaining a clean environment, processing payments, accepting deliveries, and handling mail.
• Proactively reviews patient cancellations and reschedules treatments, and notifies staff of changes; reminds patients of upcoming appointments.
• Receives deliveries, collects invoices, reviews for accuracy, coordinates with Clinic Manager to authorize payment, and forwards to Accounts Payable.
• Schedules patients for follow-up infusions with the Patient Care Navigator team.
• Collaborates with referring providers to obtain and file medical records, maintaining HIPAA compliance.
• Maintains statistical records and prepares reports for the Clinic Manager.
• Assists with inventory management in collaboration with the Clinical Operations Manager.
• Fosters positive relationships with staff, providers, and external agencies.
