Job summary

Muon Space, based in Silicon Valley, seeks a Recruiting Coordinator to support the Talent Acquisition team. This hybrid role requires on-site presence 3 to 4 days weekly in San Jose, with occasional travel to Mountain View, CA.

You’ll manage interviews, liaise with candidates and hiring managers, and maintain Greenhouse records. You will enable a smooth candidate experience, coordinate scheduling across time zones, and support events and headcount reporting.

Qualifications

• 1+ year of experience in a recruiting coordinator, recruiting operations, or similar role in a fast-paced technical environment.
• Strong attention to detail and organizational skills.
• Excellent verbal and written communication.
• Proven ability to manage multiple priorities with a positive, team-oriented attitude.
• Proficiency with Google Workspace (Calendar, Gmail, Docs), Slack, and Greenhouse.
• Proven ability to manage multiple priorities, adapt to changing business needs, and thrive in a fast-paced environment.
• Experience coordinating complex interview schedules across multiple time zones and seniority levels.
• Strong problem-solving skills with the ability to proactively identify and resolve scheduling conflicts.
• Demonstrated ability to build positive relationships with candidates, hiring managers, and interviewers.

Responsibilities

• Coordinate and schedule interviews across time zones, including virtual and on-site meetings.
• Serve as the primary point of contact for candidates, ensuring timely and clear communication throughout the interview process.
• Maintain our applicant tracking system (Greenhouse), including accurate candidate records, job descriptions, interview plans and postings.
• Partner with recruiters and hiring managers to drive an efficient, organized hiring process.
• Manage interview logistics such as booking rooms, setting up video links, and handling travel arrangements when applicable.
• Greet and support candidates during on-site interviews, ensuring a welcoming and professional experience.
• Support broader recruiting efforts including headcount tracking, reporting, and sourcing.
• Help coordinate recruiting events and internal sourcing jams.
• Identify opportunities for process improvements that enhance candidate experience and team operations.
