Aero is seeking a Charter Experience Coordinator to join the Charter Team. You will manage day-to-day logistics of private charter operations, liaise with Directors of Charters, sales team, Aero crew members, charter brokers, vendors, Aero’s Operations Control Center (OCC) and guests to deliver an elevated experience.

The role requires exceptional organizational and communication skills, 2–5 years in aviation/logistics, and a proactive, guest-focused approach.

Qualifications

• Bachelor's degree or equivalent in aviation, hospitality, logistics or related field.
• 2–5 years in aviation operations, charter operations, customer service or similar fast-paced environment.
• Exceptional organizational and time management skills; ability to manage multiple priorities and meet deadlines.
• Strong attention to detail and accuracy in coordinating flight logistics and guest requests.
• Excellent verbal and written communication; ability to build relationships with guests, brokers, vendors and internal stakeholders.
• Proven ability to deliver high-touch, premium customer service with professionalism and discretion.
• Comfortable working cross-functionally with flight operations, ground operations, catering vendors, FBOs and external partners.
• Knowledge of flight planning, trip support, or aircraft dispatch processes.
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and experience with scheduling/CRM systems.
• Ability to adapt in a dynamic environment and maintain confidentiality.

Responsabilités

• Serve as the primary point of contact for charter guests and brokers, ensuring seamless communication throughout the trip lifecycle.
• Review and coordinate incoming charter requests, supporting vetting and execution of charter operations.
• Coordinate all pre-flight logistics, including briefings, catering, stocking, ground handling, fueling, servicing, and aircraft presentation.
• Ensure all trip documentation is received and distributed to crew, maintained per procedures.
• Collaborate with Flight Attendants to communicate guest preferences, special requests, and onboard inventory needs.
• Monitor operations to identify issues, provide updates, and escalate as needed.
• Partner with OCC, Ground Ops, Flight Ops, and vendors to ensure safe, efficient, on-schedule flights.
• Coordinate with FBOs and service partners to deliver a premium guest experience.
• Verify crew duty and flight time compliance with regulations and policies.
• Maintain accurate operational records and guest preferences.
• Identify opportunities to improve charter processes and service standards.
• Support additional operational initiatives and special projects.
