Job summary

Cutter Aviation in Phoenix, AZ is seeking a Charter Coordinator to quote and schedule aircraft from our fleet and manage trip details for crews and passengers with full operational control.

You will handle on-call scheduling, collect charter payments, coordinate catering and ground transportation, and work with Flight Operations to maintain service standards while adhering to TSA requirements.

Responsibilities

  • Available for on-call after hours and weekends.

  • Maintain TSA compliance and act as Ground Security Coordinator.
  • Maintain relationships with clients, brokers, and vendors.
  • Input flight reservations and service requirements into software.
  • Work with Flight Operations to meet service standards.

Description

Summary:

The Charter Coordinator will be responsible for quoting and scheduling aircraft within company's fleet, coordinating all trip details concerning the crew and passengers with full operational control, being implemented into the On-call rotation, Responsible for collecting charter payments, Maintaining OCC office equipment and aircraft to safety standards.

Key Roles and Responsibilities:
  • Direct contact with clients, brokers and flight crew.
  • Provide clerical support as required for the department.
  • Answer a high volume of incoming phone calls and email requests.
  • Manage all facets of trip quoting, planning, follow up and flight following.
  • Facilitate catering and ground transportation arrangements for clients as needed.
  • Must be available to provide on-call availability after hours and on weekends as required.
  • Use a computerized flight scheduling system to understand aircraft availability and to quote trips.
  • Adhere to applicable TSA requirements and act as a Ground Security Coordinator for charter flights.
  • Maintain positive relationships with clients, brokers, and outside operators and vendors to assist in sourcing needs.
  • Quote, source, confirm and input flight reservations and ancillary service requirements into computer software applications.
  • Work closely with Flight Operations to ensure service standards are being met and to spot potential issues that could hinder service delivery.
Requirements
Skills and Qualifications:
  • Active listening skills.
  • Able to analyze aircraft performance using charts and tables.
  • Must have strong computer skills (MS Word, Excel, Outlook, etc.).
  • Must possess excellent communication skills - both verbal and written.
  • Must possess a sense of urgency and the ability to meet critical timelines.
  • Must be detail oriented, organized and possess the ability to multi-task under pressure of deadlines.
  • Must be a team player, have great inter-personal skills and the desire to work cross functionally with multiple departments.
  • Must be self-motivated and be able to work with little or no supervision and to be able to see "the big picture" with respect to efficiency and profitability.
  • Must be able to understand applicable Federal Aviation Regulations pertaining to crew duty time / rest, maintenance and inspections, airworthiness, over-water operations, etc.
Desired Prior experience:
  • Pilot's license is desirable.
  • 1-3 years' work experience in aviation field.
  • Understanding of Part 91 and Part 135 regulations.
  • Experience in a Part 135 or Part 91 Charter Coordinator position is desirable.
Other Requirements:
  • Clean driving record.
  • Able to pass a background check.
  • Ability to pass a drug screening test.
