Job summary

Aero is seeking a Charter Experience Coordinator to manage day-to-day logistics for its private charter operations in a premium, guest-focused role. You will liaise with Directors, sales, crew, brokers, vendors, and our OCC to deliver an elevated guest journey.

Requirements include a bachelor’s in a related field and 2–5 years in aviation or luxury travel ops, with strong organizational and communication skills. This is a full-time, hybrid role with travel and flexible scheduling.

Qualifications

• Bachelor's degree or equivalent in aviation, hospitality, luxury travel, logistics, or related field.
• 2–5 years in aviation operations, charter operations, customer service, hospitality, or fast-paced operations.
• Excellent organizational and time-management skills with ability to handle multiple priorities.
• Strong attention to detail and accuracy in coordinating flight logistics and guest requests.
• Excellent verbal and written communication with guests, brokers, vendors, and internal teams.
• Proven ability to deliver high-touch, premium customer service with discretion.

Responsibilities

• Serve as the primary contact for charter guests and brokers throughout each trip.
• Review and coordinate incoming charter requests and assist with vetting and execution.
• Coordinate all pre-flight logistics: briefings, catering, stocking, ground handling, fueling, presentation.
• Ensure trip documentation is complete and distributed to crew members.
• Collaborate with Flight Attendants to communicate guest preferences and onboard needs.
• Monitor operations, identify issues, and escalate to leadership when needed.
• Coordinate with OCC, Ground Ops, Flight Ops, and vendors to ensure safety and schedule.
• Work with FBOs and partners to deliver premium guest experiences.
• Verify crew duty and flight time compliance with regulations and policies.
• Maintain accurate guest preferences and trip records.
• Identify opportunities to improve processes and service standards.
• Support special projects and operational initiatives.
