Job summary

Goodwin Recruiting in Miami seeks an Accounts Payable & Talent Operations Specialist to manage vendor payments and talent onboarding in a supportive hybrid environment.

You will process invoices via Bill.com, verify W-9 and tax documents, maintain payee records, and be the primary contact for invoice status and payments.

Ideal candidates have 2+ years AP experience, a 4-year accounting degree, strong communication, discretion with confidential data, and Bill.com/QuickBooks familiarity.

Qualifications

• Minimum 2 years in accounts payable, bookkeeping, or accounting operations.
• Strong knowledge of Form W-9, tax classifications, and TIN reporting.
• Experience handling W-9 and 1099 discrepancies and obtaining corrected documentation.
• Experience with Bill.com; QuickBooks Online familiarity a plus.
• Four-year degree in Accounting or related field.
• Strong written and verbal communication; professional vendor guidance.
• Highly organized with ability to manage multiple tasks and follow-ups.
• Ability to handle confidential financial and tax information discreetly.

Responsibilities

• Process invoices through Bill.com, ensuring accuracy, approvals, coding, and payment terms.
• Collaborate with booking to onboard new talent and vendors, verifying completion of payment and tax documents.
• Maintain accurate payee records including legal names, tax classifications, TINs, and payment details.
• Serve as primary contact for talent and vendors on invoice status, Bill.com access, and payment inquiries.
• Review and verify W-9 forms, working directly with individuals to resolve errors or incomplete information
• Assist with 1099 preparation and year-end tax documentation review.
• Troubleshoot routine payment and onboarding issues and coordinate resolution with internal teams.
• Maintain documentation to support accounts payable accuracy and month-end processes.
• Contribute to process improvements for accounts payable and talent onboarding procedures.
