Job summary

Bell Mechanical, LLC is seeking a Scheduling & Dispatch Lead to join the team on-site in Mahopac, NY. You will act as the operational link between sales, HVAC installation crews, and service technicians, building and managing the installation schedule and coordinating dispatch across multiple brands.

With 3–5+ years in scheduling/dispatch and strong CRM/software skills, you will drive on-time starts, optimize workloads, and communicate clearly with homeowners and field teams.

Qualifications

• 3 to 5+ years of experience in scheduling, dispatching, project coordination, or related operations.
• HVAC, plumbing, electrical, construction scheduling and dispatch experience strongly preferred.
• Ability to coordinate multiple crews, active jobs, and changing priorities in a fast-paced environment.
• Strong verbal and written communication with homeowners, field technicians, and management.
• Full-time in-office availability; punctual, detail-oriented, and data-driven.

Responsibilities

• Build and manage the HVAC installation schedule, assign crews, balance workloads, and sequence multi-day installs.
• Manage service dispatch board prioritizing demand service calls, PM visits, and callbacks.
• Confirm appointments with homeowners including arrival windows and site prep.
• Coordinate equipment deliveries, permits, materials with warehouse and installation managers.
• Maintain CRM, scheduling, and dispatch data; track statuses and KPIs.
• Communicate daily with sales, installation managers, and service managers to align teams.
• Respond to scheduling disruptions and reschedule as needed.
