Job summary

Trane Technologies in Rocklin, CA, is seeking a Project Administrator in our Service group to support Project Manager(s) and manage routine documentation, procurement, job costing, invoicing, and closeout across multiple projects.

Under moderate supervision, you will interact with internal and external customers to ensure timely completion while fostering a positive culture. Monday–Thursday onsite, Fridays optional location flexibility.

Qualifications

• High School diploma or GED with up to two years of related experience or training.
• Strong communication, proactive work style, and ability to work independently or in a team.
• Ability to solve problems, make decisions, and exercise good judgement.
• Experience prioritizing tasks to meet tight deadlines in a fast-paced environment.
• Familiarity with financial systems and basic accounting (A/R, A/P) is a plus.

Responsibilities

• Follow standard work and processes using multiple enterprise systems.
• Coordinate project transitions from Sales to Operations within enterprise systems.
• Administer projects through their life cycle to ensure contract compliance and delivery.
• Manage procurement per project requirements; issue POs and subcontracts to vendors.
• Coordinate monthly invoicing per customer requirements and PM direction.
• Record project costs accurately (timesheets, forecasts, vendor invoices) and run reports.
• Review billing backlog and communicate with PMs, BAS, HVAC technicians, customers, and claims.
