Job summary

FirstCall Mechanical is seeking a Project Manager to coordinate documentation and information flow for HVAC projects across multiple sites. You will support the project and installation teams, manage bookings, and keep contracts and permits up to date.

Ideal candidates bring 3+ years of admin experience in construction or HVAC, strong communication skills, and proficiency with Sage 300 CRE, Accubid, and Microsoft Office. This role reports to local Operations and offers robust benefits.

Qualifications

• High School diploma or GED equivalent and a quick learner.
• 3+ years administrative experience.
• Knowledge of HVAC or Construction industry preferred.
• Knowledge of construction and estimating software.
• Timberline Sage 300 CRE experience preferred.
• Accubid experience preferred.
• Excellent time management and prioritization of tasks.
• Analytical thinking with strong attention to detail.
• Proficient with Microsoft Office: Outlook/Word/Excel/Teams.
• Project management experience is a plus.
• Smartsheet experience a plus.
• Must be punctual, dependable and proactive.

Responsibilities

• Assist project and installation team with information flow from inception to closeout.
• Complete project bookings per established procedures.
• Manage project file structures in hardcopy and digital formats.
• Prepare billing summaries and perform contract invoicing with WIP updates.
• Submit contracts and construction permits when required.
• Provide daily schedules and relevant information to field staff.
• Prepare and track RFIs, submittals, and change orders.
• Coordinate purchasing/receiving and delivery to worksites.
• Process returns and RMAs for defective materials.
• Maintain tax-exempt certificates for customers and vendors.
• Run purchase order and labor reports for PMs; attend meetings.
