Job summary

FirstCall Mechanical, a Statewide Conditioning company, seeks a Project Manager in South Amboy, NJ to coordinate project documentation, schedules, and field correspondence.

Ideal candidate has 3+ years admin in HVAC/construction, strong communication, and proficiency with Timberline Sage 300 CRE, Accubid, Smartsheet, and Microsoft Office. This role reports to the Operations Manager and offers growth opportunities.

Qualifications

• High School diploma or GED equivalent.
• 3+ years administrative experience.
• Knowledge of HVAC or Construction industry preferred.
• Timberline Sage 300 CRE experience preferred.
• Accubid experience preferred.
• Proficient with Microsoft Office.
• Excellent time management and prioritization.
• Project management experience a plus.

Responsibilities

• Assist project and installation team with document and information flow.
• Prepare billing summaries (AIA) and perform contract invoicing.
• Prepare and submit contracts and construction permits.
• Prepare & track RFIs, Submittals, and change orders.
• Purchasing/ordering/receiving equipment and coordinating delivery.
• Compile closeout packages and warranty statements for projects.
• Review vendor/subcontractor invoice discrepancies when necessary.
• Attend departmental and intercompany meetings.
• Adhere to SOPs and suggest improvements when applicable.
