Job summary

ARS-Rescue Rooter in Saint Petersburg, FL is seeking an organized HVAC Install Coordinator to manage installation schedules, coordinate with customers and technicians, and ensure timely, accurate job preparation and completion.

You will work closely with multiple departments to keep installations running smoothly, prioritizing customer service and efficient scheduling in a fast-paced environment. Monday–Friday work hours are defined, with potential for weekend opportunities.

Qualifications

• Previous experience in scheduling, dispatching, administrative coordination, or customer service preferred.
• Experience in HVAC, plumbing, electrical, construction, or home services industry strongly preferred.
• Strong organizational skills with the ability to manage multiple schedules and priorities.
• Excellent verbal and written communication skills.
• Strong attention to detail and accuracy when entering and maintaining information.
• Proficiency with computers and scheduling software.
• Ability to work in a fast-paced environment and adapt to changing priorities.
• Customer-focused attitude and problem-solving skills.

Responsibilities

• Coordinate and schedule residential HVAC installation appointments based on technician availability, customer needs, and workload.
• Communicate with customers to confirm installation dates and changes.
• Maintain accurate installation schedules and update job information in company systems.
• Coordinate with installation teams, field supervisors, and management to ensure jobs are prepared.
• Prepare installation paperwork, job packets, permits, and other required documentation.
• Monitor installation progress and communicate scheduling adjustments or delays.
• Respond to customer inquiries and assist with scheduling concerns.
• Coordinate follow-up appointments, callbacks, and escalated customer service issues.
• Assist with processing completed installation paperwork, invoices, and job documentation.
• Track completed jobs and departmental reporting.
• Communicate with warehouse regarding equipment and material availability.
• Support scheduling training, meetings, and other departmental activities.
• Data entry and recordkeeping; collaborate with dispatch, sales, customer service, and installation teams.
