Job summary

Apple Air is seeking an organized Install Coordinator to manage residential HVAC installation projects from scheduling through completion. You will coordinate schedules, ensure permits and financing workflows, and act as the main liaison between customers and internal teams using ServiceTitan.

The role requires strong communication, multitasking, and attention to detail in a fast-paced environment. HVAC/ home services experience is preferred and MS Office proficiency is expected.

Qualifications

• 1-2+ years in an administrative, coordinator, customer service, or operations support role
• Experience in HVAC/home services preferred
• Strong organization and communication abilities

Responsibilities

• Coordinate HVAC installation schedules with technician availability and job timelines
• Review sold jobs, equipment selections, permits, financing, and materials
• Manage equipment ordering, deliveries, and site requirements
• Serve as primary point of contact to provide updates and manage customer expectations
• Collaborate with sales, dispatch, warehouse, permitting, and accounting teams
• Maintain accurate job records and documentation in ServiceTitan and other systems
• Coordinate permits, inspections, rebates, warranties, and financing paperwork
• Resolve scheduling conflicts and equipment or site challenges promptly
• Oversee job closeout: paperwork, signatures, photos, invoices, payments
• Assist with payments and financing documentation as needed
• Perform other administrative duties to support team goals
