Job summary

John Davis Heating & Air is seeking a friendly Customer Service Representative to be the first point of contact for customers. You will handle inbound calls, schedule service appointments, and ensure every interaction reflects our commitment to quality and care.

Responsibilities include scheduling, dispatch optimization, data entry in our software, and follow-up on service orders and memberships. Strong communication and organization are essential in a busy HVAC office environment.

Qualifications

• High school diploma or equivalent is required.
• Prior customer service experience is preferred, especially in HVAC, trades, or dispatch.
• Excellent phone manner and communication skills are essential.
• Strong organizational skills and attention to detail are important.
• Familiarity with scheduling/dispatch software (ServiceTitan preferred) is a plus.
• Ability to stay calm and professional during busy periods is expected.
• Dependable, punctual, and team-oriented attitude is required.

Responsibilities

• Answer inbound calls and respond to customer inquiries about service, maintenance, and installations.
• Schedule and dispatch service appointments efficiently to maximize technician routes.
• Enter and maintain accurate customer records in scheduling/dispatch software.
• Follow up on completed jobs, service agreements, and membership renewals.
• Communicate pricing, financing options, and membership benefits clearly.
• Resolve customer concerns promptly and elevate when needed.
• Coordinate with technicians and office staff to keep the day running smoothly.
