Position Overview

As a Human Resources Coordinator, you will play a crucial role in supporting the HR department and ensuring the smooth operation of various HR functions. Your main objective will be to assist in the efficient management of employee records, benefits administration, payroll support and employee relations. By maintaining accurate and up-to-date employee data, you will contribute to the overall success of the HR team and the organization as a whole. Your attention to detail and ability to maintain confidentiality will be essential in this role. Ultimately, your efforts will directly contribute to the success of both the HR team and wider organization.

Essential Duties And Responsibilities

  • Payroll Support – Assist with payroll processing by ensuring accurate timekeeping, updating employee records, and verifying payroll data.
  • Onboarding & Orientation – Coordinate new hire paperwork, facilitate orientations, and ensure all required documents are completed accurately and on time, in accordance with company policies and labor laws.
  • Offboarding & Exit procedures - Manage team members offboarding process, conduct exit interviews, process paperwork, and ensure compliance with offboarding procedures.
  • Benefit Administration – Oversee team member benefits programs, support team inquiries regarding benefits, retirement plan, and other compensation matters, and ensure compliance.
  • Process Improvement- Review and refine HR processes across departments and business units, identifying inefficiencies and collaborating with teams to enhance productivity and team member experience.
  • Employee Relations & Morale – Support team member engagement initiatives, assist with building morale, and serve as a point of contact for team member inquiries, resolving conflicts or concerns in a proactive manner.
  • Employee Records Management – Maintain accurate, up-to-date employee records, ensuring confidentiality and compliance with company policies and labor laws.
  • Compliance & Reporting – Ensure compliance with employment laws, including payroll regulations, compliance reporting, and tax laws. Prepare HR reports for audits, compliance checks, and internal tracking.
  • HRIS Management – Use HRIS and Payroll systems to manage team member data, process payroll, generate reports, and assist in HR analytics.
  • Project Management – Lead or assist with various HR projects, particularly those aimed at process simplification, efficiency, and improving HR practices across multiple business sectors.
  • Office Support – Provide general office support, including handling internal communications, coordinating facility maintenance, and office supplies.
  • Travel to business locations (e.g. Lake Forest, Corona) as needed to support HR functions.
  • Event Planning - Plan and coordinate company events (team building, birthday celebrations, holiday parties, etc.)
  • Any other duties needed to help drive to our Vision, fulfill our Mission, and abide by our Company’s Values.

Qualifications

  • Relevant certifications in HR or a bachelor’s degree in human resources, business administration, or minimum of 1-2 years of experience in an HR or administrative role.
  • Ability to evaluate HR processes, identify areas for improvement, and implement effective solutions.
  • Comfortable working in a fast-paced, dynamic environment, with the flexibility to adapt to different ways of working across various departments.
  • Excellent multitasking and prioritization skills, with the ability to meet deadlines while maintaining high accuracy.
  • Strong communication skills, both verbal and written, to engage effectively with employees and leadership.
  • A collaborative mindset to work closely with the VP of HR and the HR team in the US.
  • Discretion and confidentiality are essential.
  • Proficiency in MS Office suite (Word, Powerpoint, Excel including PivotTables and VLOOKUP)
  • Experience with ADP Workforce Now, preferably within a Comprehensive Services environment
